Role Description:

The Executive Assistant is responsible for supporting a group of C-Level Executives. This role requires someone who is experienced, reliable, intuitive, with a high sense of urgency and the ability to execute without limited direction. This role reports to Manager, Administrative Services.

What you’ll do:

  • Helps executives with various business tasks that can't be handled by the executive. 
  • Handles contacts from important people from big companies, using judgment for each unique situation. 
  • Organizes and arranges for staff to attend meetings and conferences on their own. 
  • Reviews outgoing correspondence for executive approval and alerts writers to any conflicts or deviations from policies or the executive’s viewpoints. 
  • Ensures that requests for action or information are relayed to the appropriate staff member in the executive's absence. 
  • Interprets requests, helps implement actions, and decides whether executives should be notified of important or emergency matters. 
  • Prepares reports with conclusions and recommendations for solving operational and administrative problems. 
  • Coordinates the collection and preparation of operating reports, such as budget expenditures and statistical performance data. 
  • May compose and sign correspondence on behalf of executives. 
  • May serve as the executive’s representative at meetings, expressing the executive’s viewpoints. 
  • Demonstrates strategic, big-picture thinking with the ability to execute many details accurately. 
  • Performs other duties and responsibilities as necessary. 

What you’ll bring to the table:

  • Bachelor’s degree. 
  • 7+ years administrative experience supporting C-level executives. 
  • Excellent Microsoft Office, Excel, PowerPoint skills. 
  • Excellent communication, time management, analytical and problem-solving skills. 
  • Ability to maintain confidentiality when dealing with sensitive information.

ShipBob believes in transparency while providing a competitive total compensation package with a pay for performance approach. We are targeting a salary range of $60,000 for this role. The full base pay range for this position in our compensation architecture is $48,375- $80,625. In addition to base salary, this role includes the opportunity to be eligible for participation in the Company's discretionary bonus plan based on Company's plans and in accordance with Company’s policies.
