Your Role and Responsibilities:

As an Executive Assistant (EA) supporting the CEO, CFO, and CHRO of our organization, you will play a pivotal role in ensuring seamless coordination and support across key executive functions. You will be responsible for managing complex calendars, facilitating communication between executives and internal/external stakeholders, and handling a variety of administrative tasks with discretion and professionalism. This role requires exceptional organizational skills, a proactive approach to problem-solving, and the ability to maintain confidentiality.

Key Responsibilities:

Calendar Management:

  • Coordinate and manage busy and ever-changing calendars for the CEO, CFO, and CHRO.
  • Schedule meetings, appointments, conferences, and travel arrangements efficiently, considering priorities and logistical constraints.

Communication Liaison:

  • Serve as the primary point of contact for internal and external communications directed to the executives.
  • Prioritize and handle correspondence, phone calls, and emails on behalf of the executives, ensuring timely responses and appropriate follow-ups.

Meeting Coordination and Preparation:

  • Prepare agendas, documents, presentations, and other materials for meetings attended by the executives.
  • Arrange logistics for meetings, including venue booking, catering, and technology setup as needed.

Travel Arrangements:

  • Manage travel itineraries, bookings, and expense reports for domestic and international travel for the CEO, CFO, and CHRO.

Administrative Support:

  • Conduct research, compile data, and prepare reports or presentations as requested by the executives.
  • Handle sensitive and confidential information with discretion and integrity.

Project Coordination:

  • Assist in the coordination and tracking of key projects and initiatives led by the executives.
  • Follow up on action items and ensure deadlines are met.

Relationship Management:

  • Build and maintain positive relationships with executives' contacts, both internal and external.
  • Act as a liaison between executives and other departments or stakeholders within the organization.

Qualifications:

  • Proven experience as an Executive Assistant or similar role supporting C-level executives.
  • Excellent organizational and time-management skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Strong written and verbal communication skills.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Discretion and confidentiality in handling sensitive information.

Physical Demand & Work Environment:

  • Must have the ability to perform office-related tasks which my include prolonged sitting or standing
  • Must have the ability to move from place to place within an office environment
  • Must be able to use a computer
    Must have the ability to communicate effectively
  • Some positions may require occasional repetitive motion or movements of the wrists, hands and/or fingers

Salary Range

$71,446.08 - $112,809.60 USD (Salary)
  • Please note that the salary information provided herein is base pay only (gross); it does not include other forms of compensation which may or may not apply to this specific position, namely, performance-based bonuses, benefits-related payments, or other general incentives - none of which are guaranteed, may be subject to specific eligibility requirements, and are wholly within the discretion of Astreya to remit.
  • Further, the salary information noted above is a range that consists of a minimum and maximum rate of pay for this specific position. Where an applicant or employee is placed on this range will depend and be contingent on objective, documented work-related considerations like education, experience, certifications, licenses, preferred qualifications, among other factors.
