Description - what is the role?

We’re looking for a highly motivated and proactive Executive Assistant to provide seamless support to our CEO (UK based) and CRO (Chicago based), as well as providing ad hoc support to the wider Executive team.

Requirements

What you will do

  • Executive Support: You'll be the primary point of contact for our CEO and CRO, managing their complex diaries, coordinating global travel arrangements, managing expenses and ensuring they are always prepared for meetings and events.  You’ll also assist with any ad-hoc support to the CEO as needed.
  • Diary Management: Expertly manage the diaries of our CEO and CRO across multiple time zones, anticipating needs and proactively resolving scheduling conflicts.  
  • Travel & Logistics: Coordinate international travel arrangements, including flights, accommodation, visas and itineraries. 
  • Inbox Management: You'll expertly manage the inboxes of our CEO and CRO, flagging urgent matters, drafting correspondence, and ensuring nothing falls through the cracks. 
  • Meeting & Event Coordination: From Board meetings to Quarterly Planning sessions, you'll ensure every event runs without a hitch. This includes agenda creation, preparing pre-read materials, and coordinating logistics.
  • Executive Team Support: You'll provide ad hoc project support to the wider Executive Team, assisting with presentations, research, and administrative tasks. 


Who you are

  • Experienced and Proactive: You have solid experience working remotely or in a hybrid role as an Executive Assistant, ideally within a global tech or fast-growth environment.
  • Tech-savvy: You’re comfortable working with various technology platforms and tools, ideally with experience working with Google Workspace
  • Exceptional communicator: You have excellent written and verbal communication skills, with the ability to adapt your style to different audiences.
  • Global Mindset: You're comfortable working across different time zones and cultures, with an ability to build strong relationships remotely.
  • Discretion & Confidentiality: You handle sensitive information with the utmost professionalism and confidentiality.
  • Highly organised: You’re a master of organisation and prioritisation, with a keen eye for detail and a knack for anticipating needs. 
  • Problem solver: You thrive in a fast-paced environment, are proactive, and can think on your feet to solve problems.

  • Salary: £26,000-£28,000 (pro-rata - expected hours of 15-20 per week)
