Role Overview
As the Executive Assistant (EA) to the CEO, you will play a key role in advancing our mission by providing high-level administrative, strategic, and operational support to ensure efficiency, alignment, and execution across the organization. This position blends traditional EA responsibilities with project coordination and event management, offering the opportunity to collaborate with a passionate, mission-driven team making a meaningful impact.

Key Responsibilities
- Proactively manage the CEO’s calendar, ensuring alignment with strategic priorities, coordinating across multiple time zones, and resolving scheduling conflicts.
- Coordinate complex travel arrangements and manage expense reports, ensuring accuracy and timely reconciliation.
- Prepare, refine, and edit executive-level presentations, reports, and communications to support decision-making and strategic initiatives.
- Serve as the CEO’s primary liaison, ensuring clear, timely communication with internal and external stakeholders.
- Manage logistics, materials, and follow-ups for board meetings, leadership sessions, and company-wide events, including retreats, team meetings, and all-hands sessions.
- Support meeting documentation, including tracking key decisions and maintaining records.
- Maintain and organize executive records, shared files, and databases, ensuring accessibility and security.
- Provide backup support for onboarding new employees, including scheduling orientation, preparing materials, and tracking tasks in HR systems as needed.
- Support ongoing projects, tracking deliverables and coordinating cross-functional efforts to ensure execution.
- Handle ad hoc projects and tasks as needed to support the CEO and organizational objectives.

Qualifications
- 3+ years of experience in an Executive Assistant or Project Coordinator role, supporting C-level executives.
- Expertise in managing executive calendars with competing priorities and multiple stakeholders.
- Proven ability to track projects, including board meetings, leadership offsites, and strategic planning sessions.
- Proficiency in Microsoft Office Suite and Outlook; familiarity with Slack, SharePoint, or other executive support tools is a plus.
- Exceptional writing, proofreading, and editing skills, with a sharp attention to detail.
- Strong project management skills, with experience tracking deliverables, coordinating cross-team efforts, and ensuring execution of action items.
- Ability to handle competing priorities and make independent decisions that align with executive objectives.
- Experience coordinating events, including scheduling, logistics, and follow-up for senior leadership and board meetings.
