Smartsheet is looking for an Executive Assistant to support the VP of Professional Services & VP of PS Sales. The ideal candidate will be proactive, flexible, resourceful, and efficient while maintaining the highest level of confidentiality, integrity, and professionalism. The candidate will serve as a strategic partner to both VPs.

You will primarily report to the VP of Professional Services. This role is Hybrid-eligible. Candidates based in the Pacific Time Zone or near our headquarters in Bellevue, WA are preferred. This role will require traveling 15-20% of the time per quarter to support Quarterly Business Review meetings. 

You Will:

  • Develop a deep understanding of critical components of the business and key partnerships, in order to provide strategic support, anticipate needs, and provide suggestions and advice to the VP of Professional Services & VP of PS Sales.
  • Manage calendaring for both internal and external events for the VP of Professional Services & VP of PS Sales.
  • Arrange travel plans and itineraries as well as manage expense reports for the VP of Professional Services & VP of PS Sales.
  • Prepare meeting agendas and materials, and coordinate logistics for various meetings and events, both internal and external in various locations.
  • Work closely with leadership on key initiatives, business operations, and various team events (offsites, team-building, etc.).
  • Draft correspondence for review and distribution.
  • Liaison with company leaders outside of the Professional Services & PS Sales groups. internal/external partners and other teams on behalf of the team.
  • Partner with the Smartsheet EA Team to effectively and efficiently streamline tasks
  • Support key project administration through pre-built Smartsheet tools.
  • Provide administrative support for the VP of Professional Services & VP of PS Sales, including email/slack aliases, org charts, recognition programs, etc.
  • Partner with the World Wide Field Ops. (WWFO) EA team for WWFO onsite event needs and project support.
  • Build and maintain excellent relationships with team members and with other assistants, including supporting other executive assistants and office team members to maintain continuity and best practices. 
  • Take on ad-hoc projects as they arise based on interest in learning and as time permits.

You Have:

  • BS/BA degree or equivalent experience.
  • Experience working with a senior leadership team (preferred)
  • 5+ years of relevant experience as an Executive Assistant or similar role.
  • IT literate with comfort using Smartsheet, Gmail, Google Calendar, Google for Work and Microsoft Office.
  • Positive, can-do attitude, exceptional organization, communication skills, attention to detail, and follow through.
  • An innovative approach to how you get your work done and a willingness to continuously improve.
  • The ability to manage highly sensitive or confidential situations and information with professionalism.
  • The confidence to work independently, manage shifting priorities, demonstrate good personal judgment, and effectively handle tasks under pressure.
  • The ability to work with individuals inside and outside Smartsheet in a way consistent with our values and commitment to service.

Smartsheet provides a competitive base salary range for roles that may be hired in different geographic areas we are licensed to operate our business from. Actual compensation is determined by several factors including, but not limited to, level of professional, educational experience, skills, and specific candidate location. In addition, this role will be eligible for a market competitive incentive opportunity and some roles may be eligible for a RSU stock grant upon accepted offer. 

US Pay Range$72,500—$98,750 USD
