The Role:

As an Executive Assistant to the EPD Leadership team (Chief Product Officer, Chief Technology Officer, and Chief Experience Officer) you will serve as the organizational linchpin, ensuring smooth operations and driving productivity within Pipe's R&D teams. This role requires exceptional multitasking, prioritization, and interpersonal skills to support executive leadership in a dynamic, fast-paced environment. You will also work closely with two other Executive Assistants to provide cohesive and synchronized support across the business.

Key Responsibilities

  • Calendar Management: Oversee dynamic and complex calendars for executives. Balance competing priorities to ensure alignment with business goals and key initiatives. Anticipate scheduling needs, proactively resolve conflicts, and coordinate across multiple stakeholders, teams, and time zones to maximize efficiency. Manage the executives' time discreetly and tactfully handle competing priorities.
  • Travel Coordination: Organize and manage domestic and international travel arrangements, including flights, accommodations, itineraries, and activities. Handle last-minute changes with agility and precision.
  • Event Planning: Plan and execute complex off-sites, team events, and company-wide initiatives. Travel to domestic events several times per year is required.
  • Communication & Correspondence: Serve as a critical communication hub in our fully remote organization. Proactively bridge departments, ensuring seamless information flow across teams to support organizational goals. Excellent verbal and written communication skills are essential.
  • Collaboration: Partner closely with other Executive Assistants to maintain alignment, streamline processes, and provide cohesive support for the executive team.
  • Project Management: Support special projects, conduct research, and prepare presentations, reports, and agendas as needed.
  • Operational Support: Manage administrative tasks such as expense reports, document management, and maintaining organizational systems to ensure smooth operations.
  • Confidentiality & Discretion: Handle sensitive information with the highest level of professionalism and confidentiality.

Qualifications:

  • 5-7 years of experience as an Executive Assistant, ideally in a fast-paced tech or startup environment.
  • Proven ability to manage complex calendars, travel arrangements, and high-pressure situations with grace and efficiency.
  • Exceptional organizational, time management, interpersonal and multitasking skills.
  • Strong written and verbal communication abilities.
  • High proficiency in Google Workspace, Slack, etc. 
  • Collaborative mindset with experience working in tandem within an operational team and with other high-level EAs.
  • Flexibility to adapt to changing priorities and work outside standard business hours when necessary.
  • Detail-oriented and proactive with a “no task is too small” attitude.
  • Bachelor’s degree or equivalent experience preferred.

The annual US base salary range for this role is $170,000 - $180,000. This salary range may be inclusive of several career levels at Pipe and will be narrowed during the interview process based on a number of factors, including the candidate’s experience, qualifications, and location.
