Event Specialist

Key Responsibilities:
- Event Planning and Execution: Plan and manage event logistics, including registration, travel arrangements, vendor coordination, booth setup, and on-site operations. Work with marketing teams to develop and deliver compelling materials, presentations, and booth designs that align with campaign messaging. Support post-event follow-ups, including data collection, reporting, and ROI analysis to inform future strategies.
- Coordination with Marketing, Advocacy, and Sales: Collaborate with marketing teams to ensure event messaging and goals align with broader campaigns. Partner with advocacy teams to coordinate activities with KOLs, professional societies, and patient advocacy groups at events. Work closely with sales teams to identify key attendees and ensure alignment between event activities and sales objectives.
- Stakeholder Engagement and Communication: Act as a central point of communication for internal and external stakeholders regarding event logistics and deliverables. Build strong relationships with vendors, contractors, and industry associations to ensure high-quality event execution. Provide regular updates to the Event Leader and cross-functional teams on event progress and outcomes.
- Administrative Support and Compliance: Support event budgets, process invoices, and ensure cost-effective use of resources. Maintain event documentation, including contracts, compliance requirements, and timelines. Assist the Event Leader in preparing strategic updates and recommendations for future events.
- Vendor and Partner Collaboration: Support partnership with external vendors, event organizers, and agencies to ensure high-quality production and smooth execution of marketing activities. Manage contracts, timelines, and deliverables with partners.
- Budget Monitoring:Support budgets for events and campaigns, ensuring efficient use of resources and adherence to financial plans.
- Performance Tracking and Reporting: Track the performance of events and marketing campaigns, analyzing key metrics and providing insights to improve future initiatives. Prepare post-event and post-campaign reports for internal review.
- Regulatory Compliance Support: Ensure that all advertising and promotional materials used in events and campaigns comply with regulatory requirements and company standards. Support the APR process. Coordinate with the regulatory, compliance and legal teams during the review and approval process.
Key Capabilities:
- Strong organizational and multitasking skills, with attention to detail.
- Experience in event management within the pharmaceutical, healthcare, or diagnostics industry.
- Ability to work effectively with marketing, advocacy, and sales teams to align event planning with strategic goals.
- Excellent communication and interpersonal skills for working with diverse teams and external partners.
- Proficiency in event management tools, budgeting, and reporting.
- Problem-solving skills and flexibility to adapt to changing priorities during events.
- Willingness to travel and support on-site execution at events.
Qualifications:
- Bachelor’s degree in Marketing, Communications, Event Management, or a related field.
- 5+ years of experience in event planning, marketing campaigns, or a related field, preferably in the pharmaceutical or healthcare industry.
- Proven track record of successfully managing events and supporting marketing campaigns.
- Strong organizational, communication, and problem-solving skills.
- Experience with digital marketing tools and event management software preferred.

For U.S. based positions only, the pay range for this position is $72,800.00-$109,200.00 Annual. It is not typical for an individual to be hired at or near the top of the pay range and compensation decisions are dependent on the facts and circumstances of each case. The specific compensation offered to a candidate may be influenced by a variety of factors including skills, qualifications, experience and location. In addition, this position may also be eligible to earn performance based incentive compensation, which may include cash bonus(es) and/or long term incentives (LTI).
