Purpose of Position
This individual is responsible for directly assisting executive officers of Education Resources, and providing educational coordination to the education programs. This person coordinates with the faculty of the medical curriculum and assists with the day-to-day management of the Team-Based Learning (TBL)/PCL Case Study development and revision, organizes and posts the medical curriculum schedules along with the lecture and lab materials for Phase 1. This individual will also be responsible in arranging patients and physicians for TBL/case wrap-up. This individual supports the curriculum committees needed for student learning and assessment for Year 1 and Year 2 of the curriculum. This person may be assigned to coordinate special projects; attend related committee meetings, prepare committee reports as deemed necessary, and provide assistance in the development and administration of the curriculum. This position requires attention to details, ability to make judgements and an ability to interface with the faculty and public in a professional and courteous manner.
Duties & Responsibilities
Patient Centered Learning (PCL) and Team Based Learning (TBL) Coordinator for Phase 1
- Assist PCL/TBL Case Review Team for Phase 1 with review and editing of PCL/TBL cases, exhibits and other learning tools and preparation of student versions of cases and exhibits.
- Post all Phase 1 PCL/TBL Cases for students and notify PCL/TBL facilitators
- Arrange for TBL content experts for weekly large group-sessions
- Assist with logistical and clerical support for TBL quizzes and activities.
- Participate in faculty TBL meetings as needed.
- Assist with the placement of Phase 2/3 Medical Education students in Phase 1 PCL/TBL groups for co-facilitation
- Schedule and coordinate the PCL/TBL Facilitators for Phase 1 including ensuring payments are submitted
- Schedule and coordinate pre-unit/unified session facilitator meetings for Phase 1, this includes preparing handouts for pre-unit/unified session meetings.
- Weekly post the Student Learning Objectives for each case (SLO) for Phase 1
Case Wrap-up Coordinator for Phase 1 of the Medical Curriculum
- Coordinate weekly wrap-up activities for Phase 1 Medical Curriculum
- Notify Phase 1 case wrap-up physicians when case updates are available the week prior to the wrap-up
- Send Education Resource thank you letters and monitor mail out of student thank you note cards for wrap up sessions of Phase 1
- Send weekly patient case wrap-up sheets to class presidents and for introductions
- Technology preparation and teardown for case wrap-ups and for guest lecturers
- By end of unit, send guest participant thank you message from students/ER directors
Assist the Assistant Dean of Phase 1 Curriculum
- Review old template formatted schedules to Leo format prior to import from CMS Plus for each block/unified session.
- Work with course director paying attention to notes previous on block/unified session schedules
- Permissions granted to those persons involved in curriculum (administrators, facilitators, students, etc.) an ongoing maintenance item in CMS Plus and sometimes Leo
- Monitor media site recording options
- Room scheduling maintenance with deadlines held by Information Resources.
- Add and delete appropriate user information for this CMS Plus program.
- Assist and support the Assistant Dean for Phase 1 for curricular management of Phase 1 with the exception of lecture scheduling
- Confirming sessions on CMS+ on set on correct date/time
- Assisting with changes on shared spreadsheet after uploading into LEO 10. Assisting with changes on LEO.
General Administrative Duties related to Phase 1 Medical Curriculum
- Coordinate Facilitator Feedback meetings and Group Leadership meetings for Phase 1
- Assist to Phase 1 Curriculum Schedule Coordinator if needed
- Maintain electronic and versatile filing systems for all related records pertaining to job duties
- Proctor for Phase 1 and the Step Preparation course
Required Competencies
- Demonstrated proficiency with Microsoft Office software (Word, Excel, PowerPoint)
- Demonstrated proficiency with PC/Mac computers
- Excellent interpersonal, verbal, organizational and written communication skills
- Ability to multitask and prioritize personal workload, while meeting deadlines in a timely manner
- Ability to be self-directed and work both independently and as a member of a team.
- Ability to assist and direct Faculty, Staff and Students in a courteous and empathetic manner
- Ability and willingness to learn new software programs
Minimum Requirements
- Bachelor’s degree in Education, Health/Science, Business/Office Administration or related field; or an Associate’s degree with 3 years of related experience in an academic setting
- Three years of experience in academic or business setting
- Successful completion of a Criminal History Background Check

- Experience in scheduling
- Experience in NDUS, UND and SMHS policies
- Experience with the use of a learning management system
- Experience with the management of databases
