About the Opportunity

You are ready to devote yourself to a mission-based org. People admire you as someone who is super reliable, gets stuff done and brightens the world around them. We want you to consider joining us. The role is for an ambitious, detail-obsessed, and personable individual at an influential, mission-driven education organization.

This position will serve as a confidential partner to the Office of the Senior Vice President (OSVP), which includes aiding in the efficient management of OSVP through executive administrative support to the Senior Vice President and three Vice Presidents within Learning and Assessment, as well as focused support to the Senior Director, Strategy and Analysis. Core responsibilities include executive support, quality control, communication management, calendar management, expense management, project management, and travel planning and execution. You’ll work closely with the Senior Director, Strategy and Analysis to track and manage the flow of daily work and other initiatives through the Office of the SVP. You’ll be the “first line of defense” for logistical and administrative issues, seeking to resolve them swiftly and proactively.

In this role, you will:

Provide superb, detail-oriented administrative support to the Learning and Assessment Team (70%)

  • Manage the SVP’s and VPs’ calendar meticulously, including coordinating meetings and travel. Maintain command of all meeting details and requests from across the organization, while ensuring leadership can balance numerous competing priorities and ensuring the SVP’s preparation for meetings and events in a timely manner.

  • Provide wide-ranging administrative support to the SVP including travel arrangements, expense reporting, and meeting logistics.

  • Regularly engage and build productive relationships with senior leaders across the organization and relevant support staff.

  • Provide support and help coordinate some key Learning and Assessment events, including large-scale meetings, special events, holiday events/celebrations, senior leadership events/dinners, and external gatherings.

Assist with special projects and engagement for the division (30%)

  • Maintain confidentiality when dealing with sensitive information.

  • Support the Senior Director, Strategy and Analysis and Senior Vice President to capture critical information, notes, next steps, and pre-reads to support the day-to-day management of the division.

  • Regularly coordinate with various Learning and Assessment staff members and other internal partners to execute projects, communications, and meetings, including Finance and Procurement.

  • Work cross functionally with other Executive Assistants to coordinate meetings, events, and agendas.

  • Support, execute, and assist on team activities (e.g., townhalls, staff meetings, agendas, all-hands, off-sites, and social events).

About you:

  • A superb administrative assistant seeking a challenging, fast-paced role supporting senior leaders of a large organization.

  • Obsessed with details. You look ahead, behind and into everything. You ask why things didn’t work and ensure they work seamlessly in the future.

  • Polished, professional, and personable. This isn’t your first administrative assistant role. You’re ready for the next step in your career.

  • You get bored when things move slowly. You want to work with people who have big ideas and ambitious agendas. You can flex and adapt, too.

  • Want to work on a small, tight-knit team. You work hard and have fun when you work. You bring positivity and energy to the team each day.

  • Work with a sense of urgency. You are precise under pressure and calm in situations that could fluster others. The challenges of a fast-paced, high-intensity role drive you.

  • Care deeply about people. You are purposefully kind. You know other people’s birthdays, anniversaries and the days that matter. You know when and how to make others be seen and feel heard.

  • An Outlook expert. You are an expense report and travel reservation virtuoso. You’re eager to take on projects, learn new technology and improve processes. Well-functioning systems bring you joy.
