Position Summary:

The Compliance Coordinator assists the Compliance team to meet all federal and state legal obligations and compliance requirements as a Third Party Administrator, Agent, and Agency. In addition, the Compliance Coordinator assists the Partner Relations team by working cross-functionally with internal areas and carrier partners. The Compliance Coordinator will assume responsibility for key internal and client reporting.


Essential Job Functions:

  • Assist with maintaining contractual and regulatory compliance requirements by working with Compliance team members to assess how they apply to AGIA’s business including AGIA, the carrier, the client, and the insured to ensure the company meets its federal, state, and contractual legal obligations. 
  • Coordinate all Compliance & Partner Relations related inquiries and actions that are received in the Compliance@agia.com inbox. Support the Single Point of Contact Process (SPOC) by monitoring and logging items in the SPOC inbox and assigning them the appropriate internal resource for completion. Work with Compliance and Partner Relations team to answer or assign all received inquiries and requests. Handle all reported fraud or security incidents per the defined processes.
  • Work with Carrier and AGIA subject matter experts to ensure associate training modules are compliant. Coordinate creation and maintenance of all training modules by working with Corporate Training Department and Human Resources. Assign all required training modules to applicable associate within AGIA’s Learning Management system (LMS). Ensure that all assigned associates, new, and existing associates complete required training­­­ and reporting is archived per procedures. Organize and reply to all carrier required attestations.
  • Prepare client, carrier, and internal reports. Compile data from multiple sources to generate monthly, quarterly, and annual client reports. Create and implement tracking mechanisms to communicate status and follow up on internal support requests for queries and required data. Maintain Scheduled Carrier Level Reports and Calendar. Assist in any changes, troubleshooting, or maintenance of these reports. Gather and update monthly department reports. Appropriately maintain and understand the nature of sensitive, proprietary, and confidential client, carrier, and AGIA information.
  • Maintain Contracts/agreements. Monitor submission portal and complete process steps for all submitted fully executed agreements, pull requested agreements from database, and produce monthly reports on volumes received. 
  • Assist Compliance and Security teams with vendor management assurance. Maintain inventory of critical vendors, certify list of critical vendors annually, and assist with the vendor assurance process. 
  • Perform other miscellaneous functions and special projects as assigned.
Requirements

Education/Certification: Bachelor’s degree or equivalent experience. 

Required Experience:  Minimum one year of compliance or related experience in a regulatory environment. Minimum three years office experience, preferably in the insurance or financial services industry. Knowledge of government regulations including:

· Health Insurance Portability and Accountability Act (HIPAA).

· Gramm-Leach-Bliley Act (GLB).

· Office of Foreign Asset Control (OFAC) requirements.

Knowledge of Insurance regulatory and legal requirements preferred.

Knowledge of corporate risk analysis preferred.

Auditing methodologies and best practices preferred.

Knowledge Insurance and entity licensing requirements preferred.

Skills/Abilities: Intermediate proficiency in MS Office. 

Travel: No travel

Work Schedule: Regular office schedule. No weekends

Physical & Mental Requirements:

  • Using primarily just the fingers to make small movements such as typing (40 WPM), picking up small objects, or pinching fingers together.
  • Able to hear average or normal conversations and receive ordinary information.

  • Maintain a safe work environment by keeping work station and area clear of obstacles, debris, and clutter. Comply with all company safety rules and security procedures.
