Job Description

The Joint Institute for Strategic Energy Analysis (JISEA) at the National Renewable Energy Laboratory (NREL) are seeking a Business Support Professional (BSP) to join our growing team. As the junior member of the Institute’s two-person BSP team, the person in this role will leverage their existing administrative experience and approaches with a senior team member to support two line management groups with about 20 staff each. The career opportunity involves both routine business support assignments and non-routine or special assignments.

Tasks include working with HR on hiring and supporting new staff through onboarding with a goal of long term career growth and retention, scheduling for multiple people at different levels of the organization, supporting synthesis of notetaking and tracking of action items from organizational meetings, assisting or executing staff travel arrangements, supporting meetings, workshops, visitor tours and large-scale events (including scheduling, room set-up, site access, security arrangements, webinars, catering, audio visual set-up, meeting materials, etc.). The BSP will also support the development of spreadsheets and other financial documents, and should be comfortable using multiple online electronic systems for finance, purchasing, travel, etc.

Successful BSP team members demonstrate a passion for contributing to the overall success of their centers, their projects, and NREL as a whole. They display a desire to volunteer, learn, and participate. Confidentiality, diplomacy, and a respect for protocol are needed for this position. The incumbent shall develop and maintain administrative, financial and record systems, and execute business support functions with some oversight, but at times will be required to execute tasks on their own with minimal supervision. The position will require working routinely with management from JISEA.

This role is based in the Research Support Facility of the South Table Mountain Campus of the National Renewable Energy Laboratory. BSPs in JISEA may not be fully remote but after a six month period of being in the office Tuesday-Thursday a week, are afforded the opportunity to work from home an average of two days per week upon agreement between the employee and their line manager(s) as duties, schedules, and job performance allow.

Specific Duties Include:

  • Provide administrative support to Group Manager(s) and their staff
  • Execute administrative functions with minimal oversight, providing timely, accurate, and effective administrative support for the programmatic, business, and operational functions of the group(s).
  • Resolve a range of requests with varying degrees of urgency and act as a resource for staff on institutional processes, procedures, and requirements.
  • Proactively identify and lead the development of standard operating procedures to compile shareable knowledge on NREL’s many systems and policies (internalizing project information to make projects easier the next time).
  • Work collaboratively with JISEA’s senior business support professional to provide and receive feedback for better team support, share knowledge about navigating NREL’s policies and business systems, provide input and recommendations on organization-specific administrative practices, maintain shared documents and templates, and work cooperatively on applicable tasks, activities, and events.
  • Proactively execute and/or monitor multiple tasks for individuals, groups, and oneself. Typical tasks include managing calendars/scheduling, travel requirements, meeting and workshop logistics, catering arrangements, onboarding new staff, email distribution lists and access to shared file locations, hiring/contracting requirements, purchases, expense reimbursement, visitors/vendors, office supply inventory, hard copy and electronic files and records, mail/mailboxes, training requirements, safety inspection processes, correspondence, and information flow.

Basic QualificationsBusiness Support II Requirements: High School Diploma or equivalent and 1 or more years of experience or equivalent relevant education/experience. Or, relevant Associate's Degree or certification program of comparable scope or equivalent relevant education/experience. Solid knowledge of the job. Substantial understanding of general aspects of the job with a broad understanding of the detailed aspects of the job. Intermediate skills in applicable software packages and office equipment. Basic project administration skills. Ability to prioritize work. Proficient in written and verbal communications. Very good team and interpersonal skills.

Business Support III Requirements: High School Diploma or equivalent and 4 or more years of experience or equivalent relevant education/experience. Or, relevant Associate's Degree or certification program of comparable scope and 2 or more years of experience or equivalent relevant education/experience. Considerable knowledge of specialized focused business support functions. Complete understanding of the general and detailed aspects of the business support activities, and their practical applications to problems and situations ordinarily encountered. Experienced skills in applicable software packages and office equipment. Demonstrated project administration skills. Full knowledge of specific principles, procedures and practices related to supported fields and disciplines. Strong written and verbal communication skills, team and interpersonal skills.

Additional Required Qualifications
  • Ability to work with minimal supervision and direction; self-started attitude and mentality, but in the context of a collaborative business support team
  • Intermediate to advanced skills in computer operations and equipment, including the implementation and use of new computer software and communication methods;
  • Proficiency in analytical techniques and problem solving practices related to business support functions; 
  • Professionalism in hosting as well as all written and verbal communications;
  • Experience related to organizing travel, including complex foreign travel;
  • Ability to juggle and track the flow of paperwork (i.e. travel expense reports, subcontracts)
  • Ability to prioritize work with limited information in a fast paced work environment.

Preferred Qualifications
  • Bachelor's degree in business, communications, or related field
  • Previous experience supporting human resources organizations
  • Experience in financial and project progress tracking/reporting (Expected for BSP III Level Candidates)
  • Prior experience in a similar role within a highly technical R&D team or academic environment
  • Ability to execute assignments with limited to no supervision or minimal instruction (Expected for BSP III Level Candidates)
  • Demonstrated ability to engage with a variety of internal and external partners (Expected for BSP III Level Candidates)
  • Intermediate to Advanced knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint, Teams, OneNote, SharePoint and Outlook are required. Other frequently used electronic software programs include Adobe, Microsoft Forms, Oracle for accounting and purchasing, Workday for personnel functions, and Concur for travel and finance. Ideal candidates must be proficient with these programs or show a willingness to learn.
