About the Position

The Award Administrator is responsible for providing institutional-level support to sponsored programs administration services including creating and maintaining relationships with extramural sponsors, presenting information to all stakeholders on behalf of the Department of Programs, directing negotiations and other efforts to timely resolution, and administrative problem-solving.

Accounting and budget experience, contract terms and conditions, advanced MS Office skills in excel, advanced technical and grammar skills, ability to build and maintain relationships online and in-person, strong attention to detail, ability to juggle multiple tasks and priorities.

This is a hybrid remote Corporate position.

Salary Range

$70,000 - $75,000. Salaries are determined based on several factors including external market data, internal equity, and the candidate’s related knowledge, skills, and abilities for the position.

RESPONSIBILITIES

  • Review and assist with proposals for federal funding
  • Review and negotiate grants and contracts on behalf of the Geneva Foundation
  • Provide advice to both internal and external staff regarding critical and/or sensitive sponsored programs issues
  • Establish projects internally by completing required study startup activities in collaboration with Office of Research Management (ORM) and Finance
  • Provide financial and budgetary oversight for projects with input from ORM counterparts Draft CRADAs, NDAs and/or teaming agreements, as applicable
  • Review and submit progress reports to sponsor ensuring accuracy and compliance with sponsor requirements
  • Provide support of study closeout activities including sponsor disposition requirements and receipt of final award deliverables in collaboration ORM
  • Maintain and update files of applicable award documentation (including approvals, amendments, modifications, etc.) as well as any communications with the sponsor or any other Federal or regulatory office (including prior approvals, change in scope, etc.
  • Serve as a primary point of contact between the Geneva Foundation and its sponsors, ensuring that all administrative requirements associated with the submission of applications, acceptance and conduct of awards, and issuance and monitoring of awards are met
  • Draft and submit sponsor correspondence such as requests for prior approval and no-cost extensions 
  • Assist in the development of training for employees in research administration 
  • Review and assist with staffing contract proposals

QUALIFICATIONS

  • Bachelor's Degree or equivalent work experience required
  • Minimum of two (2) years' pre-award experience within the grants and contracts arena, and/or contracting experience, with emphasis in language/contract term review and recommendation
  • Experience with the administration of awards from various federal sponsors including grants and/or contracts
  • Ability to work independently, collaboratively, and proactively is required
  • Strong written and oral communication with a high level of customer service required
  • Experience managing fixed price, time & materials/labor hour, and cost type contracts (and/or subcontracts) and solid understanding of Government regulations associated with the administration of each
  • Ability to perform and comprehend price analyses
  • Advanced skills in grammar and technical editing ability required
  • Computer skills including intermediate level experience with Excel and other Microsoft Office Software required
  • Basic understanding of OMB Regulations, DoDGAR, FAR, DFARS, and other applicable regulations
  • Experience with private foundation grants and awards preferred
  • Military process and procedural knowledge preferred
