THE ROLE

Khan Academy is seeking a highly organized Associate Grants Manager to ensure we effectively manage our grant funding, enabling Khan Academy to achieve its mission of enabling a free, world-class education for anyone, anywhere.  This role is critical in tracking and coordinating grant commitments, optimizing our grant management processes and crafting compelling donor communications so that our funders clearly understand the impact of their support.

This role reports to the Director of Institutional and Community Giving and is part of a philanthropy team that raises 60+ million dollars annually from individuals, foundations, and corporations. This role is ideal for someone who thrives in a nimble, collaborative environment and is passionate about joining a high-performing team that drives Khan Academy’s  fundraising efforts.  

This role requires strong collaboration across development, finance, analytics, and program teams to manage the grant pipeline, track deadlines, evaluate progress, analyze key data insights, and ensure grant-funded initiatives align with Khan Academy’s strategic goals.  A successful candidate will be both detail-oriented and flexible, with experience managing multiple, complex grants and a passion for education. The ideal candidate demonstrates a strong mix of the following skills

  • Strong organization skills
  • Strong relationship manager 
  • Analytical thinking 
  • Business writing, e.g. process documentation and optimization
  • Project management, e.g. cross-functional collaboration to track timelines, deliverables and status
  • Writing for donor audiences, e.g. grant writing and reporting 

The Associate Grants Manager will utilize the above skills to execute the following key responsibilities of the role: 

Key Responsibilities

Grant Pipeline & Fundraising Management 
  • Track deadlines and develop efficient processes to enable smooth coordination with other functions to ensure accurate, timely submission of proposals, renewals, and reports
  • Actively maintain an updated list of required grant reporting requirements. Develop checklists and processes as-needed to operationalize grant reporting requirements
  • Collaborate with program staff to project-manage fulfillment of grant requirements, including running internal grant check-ins cadences, working with finance to understand and track budget and spend, conducting initial data analysis to develop key insights and working with analytics to ensure accurate reporting of inspiring results 
  • Utilize existing operational systems to maintain accurate, robust records and documentation in Salesforce
  • Document and improve internal grant processes to maximize effective cross-team collaboration, efficiency, and accuracy
  • Develop and maintain strong, collaborative relationships with key internal stakeholders to gain deep insights into Khan Academy’s work and data so that you can effectively translate that information to donors
  • Undertake prospect research to identify potential donors and build donor pipeline
  • Support the Chief of External Relations, CEO and other relationship managers to interact with donors to strengthen the donor partnership and relationship
  • Work with the Director of Institutional Giving, develop and implement plans tracking key activities and outcomes to help ensure donors and prospects are the donor phases of identification, qualification and cultivation and solicitation
  • Work with the Director of Institutional Giving to create and implement plans for keeping prospects not moving to cultivation and solicitation warm and engaged with Khan Academy
Grant Proposals, Reports and Other Donor Communications 
  • Work with other members of the institutional giving team to develop and submit compelling grant proposals including writing  original proposals and reports, drawing from existing materials, and using generative AI to help refine and customize answers while ensuring alignment between funding requests and organizational needs
  • Prepare high-quality grant reports by collecting information from programs, analyzing program data, and collaborating with analytics and finance to clearly communicate program outcomes and donor impact
  • Help maintain a content library of responses to common questions, data points, and narratives to streamline proposal development and reporting
Understand Khan Academy & Education Industry
  • Keep abreast of significant shifts in the education philanthropic sector as part of the role in effectively positioning Khan Academy and communicating our impact
  • Ensure strong alignment between donors and prospects and our work by understanding Khan Academy’s organizational strategic goals, annual plans, platform and key data metrics

The target salary range for this position is $77,600- 97,000 USD / $104,862 - $131,077 CAD. The pay range for this position is a general guideline only. The salary offered will depend on internal pay equity and the candidate’s relevant skills, experience, qualifications, and job market data. Exceptional performers in this role who make an outsized contribution can make well in excess of this range.  Additional incentives are provided as part of the complete total rewards package in addition to comprehensive medical and other benefits.
