Position Summary:

The AR Coordinator plays a crucial role in optimizing the company's accounts receivable and credit processes. This position is responsible for supporting both the credit & collection team with outstanding accounts, evaluating customer credit and assisting in maintaining accurate financial records as a back up to cash applications. The ideal candidate will demonstrate strong organizational skills and attention to detail.

General Responsibilities:

Primary Activities 

  • Manage Departmental Group Inboxes daily (respond to and assign emails as necessary) 

  • Responsible for maintaining RQ log and entering data into SAP for disputes daily. 

    • Gather all related documentation (check, invoice, credit memo, etc.) and prepare written communication to customer with explanation of charge-back/credit. 

  • Assist with gathering information on new/existing Credit Applications (send out credit reference requests, run credit reports via Dun & Bradstreet) 

  • Assist with gathering information for review of existing customer's credit limits 

  • Review and release orders on credit hold as well as JIT Blocks daily 

  • Work with Credit Manager to reduce the number of orders going on hold. 

  • Assist with process to turn accounts over to a collection agency 

  • Send Demand letters as requested by Credit & Collection Analyst or Credit Manager 

Cash Applications Support 

  • Cross train as back up for Cash Applications 

  • Research and communicate customer remittance discrepancies 

Additional Activities (as needed) 

  • Assist with collection efforts on lower volume accounts with aging balances 

  • Assist with the process of mailing/emailing customer invoices and statements 

  • Assist with reconciliation of customer accounts with known issues. 

  • Collection calls when needed. 

  • Research and compile support for Customer Refunds 

  • Assist with weekly, monthly reporting as needed. 

Skills and Experience:

  • Must have good working knowledge of pivot tables and v-lookups

  • Experience with SAP a plus.

  • Have a working knowledge of credit and collections, possess the ability to work independently, be detail oriented, have strong analytical and communication skills, the ability to manage assigned tasks, and be proficient in Microsoft products.

  • The ability to determine credit worthiness would be a plus.

  • Devote appropriate time and effort to accomplish job tasks assigned/requested.

  • Ability to prioritize and multitask.

  • Strong organizational skills

  • Deadline and detail-oriented

  • Ability to accurately calculate, post, correct, and manage accounting figures and financial records

  • Good ability to respond to common inquiries and/or concerns from customers, regulatory agencies, sales, and peers

  • Work closely with the Credit Manager, Controller and related Accounting Management team as needed.

  • Willingness to work in a team environment and assist co-workers or supervisors with other duties as required.

  • Must be willing to work away from home when required. (Hybrid)

  • Report to work at designated start time and work required hours.

Education:

  • Highschool Diploma/GED equivalent

  • Or 3+ years in AR related field (Credit Management, Accounts Receivable, Collections)

Travel Requirements:

  • Occasional travel may be required.

Pay Transparency:

  • A reasonable estimate of the annual base salary for this position is $51,000 - $85,000 + discretionary annual bonus. Pay ranges may vary by location.
