The Role
As the Advisor, Marketing Operations, you’ll be integral to our work in helping vulnerable children achieve a brighter future. You are responsible for ensuring on-time delivery of marketing and communications needs across Save the Children US. Guided by the strategic goals of Marketing, Communications and Fundraising, and those of our key stakeholders across the agency, you will manage our divisional workflow.
You will bring expertise in project and workflow management to a traffic operations team focused on building efficiency and effective ways of working. With the implementation of new workflow tools, you will establish standards for accepting work, streamline support request processes, and create dashboard reports for project visibility. In addition, you will oversee a portfolio of support requests – ensuring alignment, assigning tasks, and maintaining accountability through effective project and time management.
Collaborating across Marketing, Communications, and Fundraising departments, you will assess requests based on delivery capabilities, considering factors such as bandwidth, timing and competing priorities. Your integral role in the Marketing Operations team will contribute to aligning creative, fundraising, digital and communications teams, focusing their efforts on the delivery of our go-to-market plans and communications priorities.

What You’ll Be Doing (Essential Duties)

Project Management (60%)
- Serve as first point of contact for internal stakeholders seeking Marketing, Communications, & Fundraising support
- Work with stakeholders unpack support requests and gather requirements to assess the work. Manage expectations. timing, and align work with strategic goals
- Conduct stand-up meetings to review new tickets, assess the status of ongoing work, and promptly address issues to maintain project momentum.
- Proactively anticipate upcoming work and schedule it in alignment with go-to-market plans, ensuring the availability of resources for committed divisional plans.
- Skillfully communicate decisions on support requests, including the rejection of work that does not align with our strategy, to stakeholders at all levels.
- Uphold process integrity, best practices, project management, and timelines throughout the entire process.
- Contribute to the development of essential project documents, such as project status reports, briefs, and internal meeting reports.
- Solve a range of problems from sourcing information, to creating timelines to adjusting schedules due to changes in information
- Bring and implement project management best practices in ways of working to ongoing processes
Optimize Divisional Workflow (25%)
- Lead the adoption of JIRA Service Management as our designated workflow management tool for handling ticketed requests, ensuring that all requested work is consolidated on a unified platform for stakeholders and users.
- Set clear criteria for evaluating requests for support from creative, fundraising, web, and communications teams.
- Create dashboards and conduct thorough analysis of tickets to enhance transparency regarding ongoing work, team time allocations, and derive insights on efficiency and strategic alignment.
- Conduct routine audits of our processes to identify pain points and eliminate bottlenecks for a smoother workflow.
Operational Excellence & Other Responsibilities (15%)
- Supervise the Lead Associate, Marketing Operations who supports workflow and ticket management.
- Maintain workflows, continually assessing department efficiency and workload against resources and flag concerns to management
- Build knowledge of the organization, processes and stakeholders to effectively advise teams on where to focus their efforts
- Identify opportunities for further improvement in our ways of working. Collaborate with agency experts to enhance platforms, update training materials, and refresh guidelines.
- Train, develop, coach, lead, and supervise staff, clearly communicating organization, division and department priorities, and how their work contributes to our mission, ensuring that the working environment continually fosters diversity, inclusion, and belonging – supporting Save the Children values
- Assist the Senior Managing Director, Marketing Operations in streamlining processes, enhancing collaboration, and enforcing quality standards.
Required qualifications for the role
- Minimum of a bachelor’s degree or equivalent experience, plus at least 5 years of relevant experience
- Experience with ticketing systems, front end web production, content management systems, and matrix management
- Experience in marketing operations, traffic management, ad agency, project management, or similar production roles
- Proven experience in managing workflow, resources, and time allocation
- Demonstrated ability to manage multiple projects, issues, and priorities effectively and simultaneously with attention to detail
- Demonstrated customer focus and drive for results
- Willingness and ability to be on-call for weekends and emergency response periods outside of working hours
- Professional proficiency in MS Office suite
- Professional proficiency in spoken and written English
Preferred qualifications for the role
- Experience with JIRA Service Management or similar workflow tools
- Experience with Monday.com or similar project management tools
- Experience in training and facilitation
Compensation
Save the Children is offering the following salary ranges for this position, dependent on candidate location:
- Geo 1 - NY Metro, DC, and other locations with labor costs significantly above national average: Target Salary for this position is $84,150 – $94,050 base salary
- Geo 2 - Locations around the US National Labor Cost Average: Target Salary for this position is $76,500 – $85,500 base salary
- Geo 3 - Locations significantly below the US National Labor Cost Average: Target Salary for this position is $68,850 – $76,950 base salary
The salary ranges listed above are for US based candidates. For candidates located outside of the US, salary ranges will be based on the salary scales of the local employer of record. Actual base salary may vary based on, but not limited to, relevant experience, base salary of internal peers, business sector, and geographic location (more information on job structure is available here).
