About the Opportunity:
This position will provide administrative support to the Chief Financial Officer (CFO). The Administrative Assistant will manage the CFO’s internal and external calendars, handle logistics, and provide support for needed materials. In conjunction with the CFO, the Administrative Assistant works proactively to ensure that the key deliverables for the Division are being met in line with the established timelines. The position will be responsible for running a centralized SharePoint site, facilitating organized access to essential documents and resources in a compliant manner. The incumbent will be detailed oriented, able to focus on multiple priorities and anticipate needs.
What You’ll Do:
- Handle internal and external master calendar and cadence for reoccurring key finance events and complete related actions on behalf of CFO
- Track status of action items across the CFO organization, proactively ensure progress is in line with the required timelines to meet priorities.
- Support workflow processes for approvals (i.e., banking, contracts, investments, etc.) and track progress to completion.
- Work closely with the CFO to anticipate needs while balancing multiple priorities.
- Complete a wide range of administrative and support tasks for the CFO including processing expense reports, arranging travel and accommodations, communications, coordination of meetings and events, support gathering and preparing meeting materials.
- Service as a key point of contact for the CFO to help ensure efficient communications
- Other duties and projects as assigned.
Your Experience:
The ideal candidate will have:
Required
- Bachelor’s degree required or related experience.
- Minimum of 3+ years of professional experience as an Executive Assistant to a C-Suite level staff member
- Advanced proficiency using Microsoft Office/Google Docs (Excel, Word and PowerPoint)
- Excellent written and verbal communication skills
- Confirmed organizational and project management skills
- Strong sense of confidentiality and discretion in handling sensitive information
- Demonstrate ability to multitask, prioritize and be flexible
- Organized and deadline oriented, with the ability to deliver results
- Be a self-starter who possesses good judgment, high level of accuracy, and close attention to detail and appropriate sense of urgency
- Strong communication skills and relationship building ability
- Has strong ethical standards, professionalism and integrity
