Administrative Assistant I – Adult Education & Literacy

Position summary:
The Administrative Assistant I is responsible for providing administrative support, assisting with communication efforts, managing student and class records, and collaborating with team members to implement strategies for student retention. 

Position responsibilities:

  • Enter site data in TEAMS by inputting text based and numerical information from source within time limits.
  • Compile, verify accuracy and sort information according to priorities to prepare source data for computer entry.
  • Assist with enrollment and assessing new and current students.
  • Assist in maintaining accurate and up-to-date records of student interactions, progress, and intervention strategies.
  • Engage with students through various channels, providing information on retention initiatives and available resources.
  • Support the collection and organization of data related to the student success and retention efforts.
  • Collaborate with the team to analyze data and identify trends that inform decision-making.
  • Guide students to relevant to community and/or campus resources.
  • Assist in maintaining a comprehensive resource database for easy accessibility.
  • Work closely with team members to share insights, strategies, and updates on student interactions.
  • Collaborate on the development and enhancement of student success programs.
  • Contribute to initiatives that foster a sense of community and belonging among students.
  • Assist in organizing and promoting events that positively impact the program culture.
  • Prepare regular reports on student engagement, intervention outcomes, and the overall effectiveness of retention initiatives.
  • Engage in proactive outreach activities.

Minimum Position Requirements:
  • Associates degree required or related experience.
  • Strong organizational and time management skills, with the ability to prioritize and multitask effectively.
  • Excellent communication and interpersonal abilities.
  • Proficient in using office software, such as word processing, spreadsheets, and email applications.
  • Ability to handle sensitive information with discretion.
  • Attention to detail and a commitment to accuracy. Comply with data integrity and security policies.
  • Problem-solving skills and the ability to adapt to changing situations.
  • Knowledge of relevant legal and regulatory requirements.
  • Detailed-oriented with a proactive and collaborative mindset.

Physical Demands and Work Environment:
  • Work is normally performed in a typical interior/office and classroom environment.
  • No or very limited physical effort required; however, the employee must occasionally lift and/or move up to 15 pounds.
  • No or very limited exposure to physical risk.
Safety:
  • Provide resources for safe operation of units. Create and support workplace safety.

  • Compensation for this 12-month position is $30,160
