Job Role: Apprenticeships Support Officer

Location: Mobile throughout Scotland - this is a fully remote role

Salary: £31,500 - £38,500 + Car Allowance

Grade: SC1

Role Purpose:

Role will be required to support Apprenticeship Teams throughout Scotland including reviewing and managing the progression of apprentices, learner Health and Safety and wellbeing, in compliance with relevant funding requirements. The role will also be required to support the ad hoc projects as required including recruitment of apprentices and working with data / information systems

Role Accountabilities:

    Promotion and Recruitment of Apprentices:

    Support the recruitment of apprentices to meet the requirements of the area business plan, including:

    • Through promotion of Apprenticeship offer work with employers to generate and fill vacancies
    • Work with employers, colleges and other agencies to increase the number of suitable applicants

    To ensure apprentices are signed up in accordance with contractual requirements, including:

    • Pre checks to ensure employer understands their responsibilities, has scope of work to support completion of apprenticeship and complete workplace health and safety vetting Undertake Initial Assessment, accurate completion of all sign-up and paperwork and induction of new apprentices
    • Assignment of provider placement and accommodation where required through portal.

    Retaining Apprentices

    Take all possible steps to retain and progress learner on programme to attain the highest level of achievement possible, including:

    • Conduct regular quality progress reviews
    • Regular contact and engagement with college on apprentice progress and report back to ADM / relevant colleagues
    • Manage and monitor progress of the learners throughout apprenticeship cycle, agreeing corrective action plan where required.
    • Progress learners to the next level of apprenticeship where appropriate and available
    • Timely and accurate submission of paperwork for leavers who leave without achievement
    • Recording and escalation of safeguarding incidents and following procedures as per policy
    • Identify, record and escalate any additional learning support needs and at-risk learners, where appropriate.

    Achievement

    Monitor and record milestones towards achievement for all elements of framework and follow through to completion including:

    • Progress reviews and college achievement tracking and portfolio progress
    • Support each employer with the mentoring of apprentices and monitoring of training progress, barriers and support needs.
    • Provide regular updates to employers around learner progress
    • Liaise with trainee, employer and provider where required to support skills test readiness
    • Celebrate success by ensuring learner are nominated for awards and competitions

    Customer Excellence

    • Communicate with employers on wide range of issues including selling benefits of CITB Apprenticeships, progress reviews, agreeing action plans and escalate as required related support for apprentices, disciplinary, grievance, safeguarding issues and grants issues.
    • Effectively dealing with initial internal and external complaints or escalating where necessary in a timely manner
    • Where required, encourage companies to participate in CITB products in addition to apprenticeships.
    • Conduct all dealings with internal and external stakeholders in a professional manner

    Information and Data

    Work with internal information systems to ensure accurate data entry and reporting including:

    • Adding apprentice details to booking systems, LMS and tracking sheets
    • Supporting data reporting and analysis to meet contractual and area performance expectations

    Knowledge Skills & Experience

      Essential

      • Presentation skills and experience in delivering briefing sessions (essential).
      • Well-developed communication and interpersonal skills with ability to Influence, challenge and to manage conflict and difficult situations. (essential)
      • Understand Management Information Systems to be able to demonstrate and monitor progression towards achievement targets. (essential)
      • MS office skills packages, using technology such as laptops and tablets. (essential)
      • Knowledge and experience in learner safeguarding and wellbeing (essential)
      • Experience in being responsible for own workload, diary management and working independently to tight schedules (essential).
      • Maths and English qualification Level 2
      • Recognised Health & Safety Qualifications (i.e. SSSTS in line with contractual requirements) or willingness to complete on starting

      Desirable:

      • Working knowledge/experience in Government Work Based Learning requirements and related inspection requirements (desirable).
      • Training or teaching qualification or a willingness to undertake a qualification (Teaching, training & assessing learning L3)

      Special Conditions/Other Requirements:

      • This role is a mobile role, with no office base, and may involve significant daily travel
      • Full UK Driving Licence is essential
      • This role requires a flexible approach to working patterns and may involve occasional overnight stays
      • This role requires an enhanced DBS/PVG for child workforce and children’s barred list check
