SUMMARY: As a 401K New Business Project Coordinator, you are the quarterback that drives projects forward and keeps them on track. You will be managing our client onboarding processes, including managing 401(k) record keeper transitions from the top down and working with our clients to ensure a smooth transition. This position is responsible for keeping the overall project on track, providing guidance to our clients, and troubleshooting them along the way. This position is also responsible for establishing direct-bill clients on appropriate systems and generating client invoices each month.

GENERAL INFORMATION

  • This position is a salaried, exempt and full-time position.
  • This position is full-time remote with options to work from any of our Newfront Offices as needed. #LI-Remote
  • This position reports to: VP, Operations.

WHAT YOU'LL BE DOING

  • Oversee the new client onboarding process, including gathering client information and internal systems set up.
  • Coordinate and manage 401(k) recordkeeper transitions.
  • Consult directly with Newfront’s Retirement Services clients to understand and address their needs.
  • Collaborate with our Operations and Account Management Teams to facilitate onboarding.
  • Anticipate and proactively prevent issues to minimize errors and delays.
  • Drive the transition and onboarding process, manage internal and external stakeholders to keep clients happy, engaged, and on track.
  • Identify areas to make the Retirement Services team more efficient and to help our team scale.
  • Oversee the invoicing of all direct-bill clients by setting up new clients on internal systems, generating invoices, and facilitating delivery of invoices to appropriate client contacts on specified cadences.
  • Perform other duties and special projects as assigned.

  • Ability to forge relationships and build trust with clients, carriers, and internal stakeholders.
  • Strong understanding of industry knowledge and the ability to analyze data.
  • Strong interpersonal skills and ability to build relationships with new clients.

EDUCATION AND EXPERIENCE

  • 1-3 years of experience in a client-facing role or comparable project-management experience.
  • Experience with 401(k) plans or financial services preferred.
  • High School Education required; Bachelor’s Degree Preferred.
  • Formal project management training is a plus.
