MAIN DUTIES AND RESPONSIBILITIES:

  • Supports administrative functions related to Requests for Proposals (RFPs) and participates in all necessary meetings.
  • Creates and maintains weekly construction project meeting minutes for all phases of planning and construction to ensure that activities are carried out in accordance with specified objectives.
  • Supports all internal parties involved in the planning, design, and construction process by assigning tasks within the project management software suite.
  • Participates in bid requests and tracking to maintain facility project budgets.
  • Supports and tracks the contract change orders.
  • Coordinates and assists the local Facility Manager with the move-in to facility activities; move vendors, execution of ordering move supplies (boxes, labels, monitors and keyboard sleeves, etc.), ordering of all standard office & kitchen supplies under the approved budgets in place. 
  • Assists with the purchasing, shipment, and installation of the required Pharmaceutical assets; Machinery, Safes, Shelving, Freezers, Fridges, and Fridge UPS units.
  • Assists with the purchasing and installation of the required furniture functions for warehouse and pharmacy; Workstations, Conference Rooms, ReceptionDesks/Areas, Rph Stations, Tech Stations, Packing Stations, PharmaceuticalShelving, Warehouse Storage functions. 
  • Assists the Project Manager and local Facilities Manager on the preparation and set-up of physical facilities.
  • Assists in development, implementation, and maintenance of new and existing standards of practice for project management activities; software, best practices, creation of processes, and procedures. 
  • May prepare or participate in reports, operations and procedural manuals, and other written material and/or documentation as required.
  • Ensures effective, timely written and oral communication with consultants, construction contractors, external and internal customers during all phases of design and construction.
  • Intermediate skills with using computers and software; Project Management Software, Email, Google Meets, CAD, Planning Tools, Excel.
  • Performs other job-related duties as assigned.

REQUIRED SKILLS:

  • 3-5 years of Commercial Facilities Project Coordinator experience.
  • Pharmaceutical, warehouse knowledge, and CAD experience is a plus.
  • Knowledge of facilities planning and construction management processes and procedures, estimating, budgeting, and scheduling practices, building codes and standards of practice, laws governing construction contracts and contracting, construction materials, and methods.
  • Ability to read and interpret construction blueprints, floor plans, and specifications to compare them with construction progress.
This is a remote role with 50% required travel.
