We are looking for an attentive, resourceful administrator to be our Remote Office Administrator. You will be responsible for coordinating travel, events, and the in-person experience for teams atSection4.
This is a remote position based in the US and reports directly to the CFO.

What you’ll do

  • Work with multiple teams to set budgets for team meetings and then make arrangements for travel.
  • Responsible for all team travel arrangements; including arrange detailed travel plans, itineraries, and agendas; compile documents for travel-related meetings for the leadership and others in the company Changing or canceling travel depending on the needs of the team
  • Obtaining travel quotes as requested
  • Responsible for obtaining receipts for all travel (i.e. hotels, rental cars)Track a reconcile charges relating to domestic/international travel
  • Maintain log of receipts to submit to accounting with credit card/invoice reconciliation
  • Booking travel, meetings, food, etc for manager in-person meet-upsBook conference rooms for the company as a whole
  • Manage daily meeting logistics, including locating and booking conference rooms when needed, presentation equipment, and catering as applicable
  • Set up and manage internal and external regional meetupsProvide administrative support to others with special projects and initiatives as needed
  • Ad Hoc - send marketing materials, holiday gifts, team gifts, gift card programs, local meet-ups, data entry, invoices

Who you are

  • 0-3 years of experience as an office administrator
  • Work proactively and effectively with minimal direction, take initiative, and follow through consistently
  • Strong work ethic and ability to work in and navigate fast-paced environment
  • Creative problem-solver
  • Extremely organized, detail-oriented and precise
  • Ability to discreetly and professionally handle confidential and sensitive information
  • Proven ability to create and sustain productive relationships with internal and external stakeholders at all levels
  • Excellent written and verbal communication skills
  • Flexible and able to multitask, switch priorities as needed within a collaborative environment
  • Strong background in Google Suite including Docs, Sheets, Slides, and Calendar as well as systems like Zoom and Dropbox
  • Experience with project coordination and budget tracking
