PhD Science team members are dedicated educators and professionals from all over the country. Working remotely, we engage with colleagues primarily through virtual platforms and email communication. Our work is generally project-based and is a mix of collaborative and independent assignments. Great Minds seeks an Associate Project Manager to work closely with colleagues across multiple internal teams to plan, schedule, and support ongoing projects for PhD Science’s curriculum and implementation success teams.


  • Creates and maintains detailed workflow and project plans in Smartsheet
  • Establishes and documents project timelines, tasks, and resource needs
  • Establishes workflow, production cycles, and communication structures in coordination with PhD Science leadership
  • Collaborates with project managers and teams to creatively manage and negotiate frequent schedule adjustments to achieve project goals
  • Proactively communicates about projects to invest and inform staff about decisions and deadlines
  • Ensures standard processes and practices are in place and followed by project teams
  • Analyzes project risks and establishes risk management plans
  • Schedules and conducts project-related meetings with stakeholders and project teams as appropriate
  • Plans for and reports project metrics to document and evaluate the success of assigned projects and summarize status for the PhD Science leadership staff
  • Actively uses SharePoint and Smartsheet platforms to build centralized knowledge management for the team
  • Collaborates with the CAO and Associate Directors on long term planning and projecting team staffing
  • Work closely with the Product Manager to determine key project strategies and decisions on components, pricing, packaging, and messaging
  • Additional responsibilities as requested



  • Bachelor's degree in related major, or equivalent experience
  • Experience in either education, publishing, or curriculum development
  • 3+ years’ experience coordinating cross-departmental projects and/or managing complex schedules
  • Experience with project management principles and, ideally, experience with both the waterfall and agile project management methodologies
  • Strong organizational and time management skills
  • Strong analytic and interpersonal communication skills
  • Proficiency with Smartsheet and 10,000 FT
  • Proficiency in Microsoft Office Suite (Excel, Word, PPT) and Microsoft SharePoint
  • Demonstrates personal accountability, urgency, and persistence in completing high-quality work products
  • Promotes a supportive and collaborative environment across departments when working together on a project
  • Remains flexible during periods of rapid change
  • Manages activities for multiple projects simultaneously without missing critical deadlines
  • Ability to anticipate project roadblocks and develop creative solutions both within and across projects to meet goals
  • Maintains a positive, professional attitude under tight timelines and with multiple competing priorities
