What you can expect…

As Bid & Solutions Assistant, you will be responsible for providing support to the Practice Head Bid & Solutions and the Bid & Solutions Team in ensuring that the function runs as smoothly as possible. You will also provide team support with keeping them organised to the preparation of PowerPoint decks, organising of, collating papers for and capturing minutes and actions at meeting, completing bid reporting, organising client and internal meetings, and site visits.

Other responsibilities include:

  • Department spend - raise purchase orders and liaise with the Finance Team to ensure that all spend is documented appropriately.
  • Co-ordinate arrangements for a variety of meetings, including on-site client meetings, internally and externally, assembling appropriate material and booking logistics as required
  • To generate, coordinate and review reporting as and when requested.
  • To ensure smooth running of client and internal governance meetings – collating minutes and chasing actions as appropriate.
  • To prepare agenda, attend meetings and record the creation and closure of all actions.
  • Identify ways to improve processes to enhance support given

Requirements

We're looking for candidates who have:

  • Demonstrable experience of carrying out an administrative assistant role
  • Competence in the use of Microsoft office especially Word, Excel and PowerPoint
  • Demonstrable experience of prioritising workload and understanding the implications of actions
  • Experience working in Finance sector (desirable)
  • Project co-ordination experience (desirable)
  • Understanding of project management methodology (desirable)
