Scheduling Coordinator

The Operations team at Nice Healthcare has an exciting opportunity for a Scheduling Coordinator! In this role, you’ll support the organization through a variety of scheduling and clinical volume management tasks. The primary function of this role includes maintaining and communicating employee schedules to ensure sufficient and consistent staff coverage across all departments.

What you’ll do at Nice:

  • Assume responsibility for timekeeping and time off requests; communicate employee schedules and shift assignments by maintaining the internal scheduling and planning software
  • Review staff schedules, care team availability, and holiday closures weekly
  • Support Payroll to ensure employees are compensated accurately
  • Review all clinical time-off requests and determine approvals according to company policy; make necessary scheduling updates and follow-up with the requesting employee when appropriate
  • Utilize and expand on existing capacity management tools to monitor, analyze, and provide staffing recommendations based on current and projected visit volumes
  • Maintain the smooth flow of work across all clinical roles and departments by relaying updated staffing needs to clinical leadership
  • Develop employee schedules and establish staffing patterns for clinicians and members of the mobile care team while taking into account all relevant factors and circumstances (e.g. existing coverage, market, available FTE)

What you’ve done before:

  • Proactively and strategically maintained seamless scheduling processes across multiple teams or departments
  • Developed work schedules and allocated employees to duties and/or shifts based on staffing needs and predetermined shift patterns
  • Demonstrated the ability to remain sensitive to internal stakeholders while maintaining the balance necessary to ensure minimum staffing requirements are met
  • Measured and analyzed visit volumes and related capacity needs; familiarity with capacity planning tools and software strongly preferred
  • Strong analytical skills and the ability to make sound judgements relative to business needs and employee satisfaction
  • Seeking a keen listener with strong written and verbal communication skills
  • Experience with G-suite, Slack, Sling, Acuity and Excel are a plus 
  • Experience working in a remote and virtual setting strongly preferred 
  • Adaptable, curious, self-motivated candidates with a strong and continuous desire to learn and grow will thrive in this role
