Qualifications:

-Sophomore standing or above
-Basic event planning experience
-Experience with: Outlook, Microsoft Office, G-Suite, Box, Adobe, Asana, Avery, Zoom, Microsoft TEAMS
-Ability to meet project deadlines
-Familiarity with campus

Knowledge, Skills & Abilities:

Position responsibilities require excellent administrative, organizational, interpersonal, and computer skills. The person in this position must present a positive attitude in all interactions and communicate effectively with faculty, staff, the general public, and School and University Leadership, utilizing discretion and confidentiality when handling sensitive information. This position requires a high level of professionalism and the ability to exercise initiative and independent judgement.

Position Summary/Job Duties:

This position will report directly to the Signature Events Team in Dean’s Office of the School of Medicine and Public Health.

Requirements for the role of vary from day-to-day, especially depending on the production of virtual events, hybrid events, or in person events. In general, the job duties are follows:

-Help facilitate engaging and creative events.
-Create meeting and event paperwork, including agendas, debrief agendas, surveys, flyers, and save the date messages as assigned.
-Track RSVP and attendee data.
-Email attendees and stakeholders as assigned.
-Assist in day-to-day office tasks such as copying and preparing paperwork packets, and creating name tags and table tents for events.
-Assist in developing event décor and selecting catering menus while working within budget constraints.
-Provide the onsite logistical and operational support for about 20 events annually, including event set up, registration set up. Provide outstanding customer service to all guests.
-After events, assist in tear down and attendance tracking.
-Create diagrams to help communicate event set-up needs.
